Employee trips - this can be a nice gesture on your part towards employees. However, you must remember that as the organizer, certain rules will apply to you. Ignorance of these regulations does not exempt from responsibility, therefore below is a short summary of the most important regulations.

A tourist event is two or more tourist services (such as accommodation, meals, transport or attractions) combined into one. The organizer of tourist events is subject to certain rules related to reimbursement of costs in the event of problems and other rights of participants. You are responsible for its course to your employees. It would be best if you signed a contract with them for a work trip if participation is mandatory or involves costs. Therefore, it is worth making sure to book trips only with a proven tour operator.

With an entity that will provide you with the necessary conditions, rights and information at every stage of the trip. Anyone who offers company events, must adhere to these rules, but some organizers are not aware of this. For you, the most important thing should be whether you have full rights and protection in case something goes wrong. It is equally important that your employees are insured during the trip. If not, it is worth buying the appropriate insurance. 

The Labor Code and employee trips

If you have a private company, you can make an appointment with employees at any time how you will account for the time spent on an employee trip. Clearer rules apply in the "budgetary sector", and if there are no other regulations in the employment contract, they will also be valid in the private sector. For example Working time and youthe obligations arising from it do not apply outside the office and the company's usual operating hours, unless you instruct the employee to participate in an employee trip on a mandatory basis.

For example: 

  • Employee trips are a privilege, not an obligation. Employee participation is welcome but not mandatory – then the Labor Code does not apply. 
  • You ask an employee to take part in the trip as a speaker or group leader - this counts as his working time. He can expect a diet or reimbursement of travel expenses. 
  • The tour lasts on Friday from 8:00 a.m. to 6:00 p.m. instead of a working day at the office - then the Labor Code applies and the remuneration is the same as for ordinary work duties, plus possible overtime. 
  • The tour runs from 4:00 PM on Friday to 12:00 PM on Sunday - if employees do not usually work at that time, they have the right not to agree to participate in such an employee trip. 

It turns out that a work trip is something else than organization of conferences for companies if team-building or training. Defining what you're dealing with helps define the rights and responsibilities of each party, and this prevents misunderstandings.

Employee trips not for everyone? 

When looking through corporate event scenarios, you have probably noticed that many of them touch on topics that may be sensitive for some employees. Warto poinformować wcześniej pracowników choćby w zarysie o planowanym scenariuszu imprezy właśnie po to, by każdy miał czas podjąć świadomą decyzję dotyczącą wyjazdu. Wycieczki pracownicze można także planować z uwzględnieniem preferencji uczestników. Np. ankieta dotycząca diety to miły gest.
